Topic 26 - Reports Menu

From the main menu, click on Reports to open the Report menu. Click any button to open a report. The required connecting activities reports are in the top left area of the menu.

Most reports are simply layouts in the STW.skl, Employer.skl or Activity.skl files. You can also use the Layout button in the top left of each screen to explore different reports, lists, etc.

*** Some reports are based on a particular date range ... use the Reports menu or the Setup screen to set these dates.

*** Use the Setup Screen to fill in the name of your region or partnership so that the correct name will appear on the quarterly reports.

*** Some reports have a button that you must click to generate the report. The button will run a script that finds, sorts and formats the data as needed. If you prefer, you can also manually find and sort the data if you want a variation on the standard report.

*** To print any report, use File, Print OR Scripts, Print Landscape OR Scripts, Print Portrait on the menu bar. (See "Printing in FileMaker Pro" for more information.)

Explore the Reports menu and the various layouts in the database to find reports, lists, etc. that meet your needs. If you need a report or list that doesn't exist, you have a few options.

1. Do a "FIND" to find the records you want and then go to a layout that has the data that you want. Use Records, Sort to sort the data. Then copy and paste the data into Word or Excel so you can format a report. (Hold down the SHIFT key while you click on Edit, Copy on the menu bar. Then open Word or Excel and click on Edit, Paste on the menu bar.)

2. Do a "FIND" to find the records you want and then click on View, View as Table to view the records in rows and columns. Use the mouse to drag the columns you want to the left side of the screen ... then print the data in landscape or portrait mode as appropriate. (Use View, Preview Mode to preview before printing.)

3. Contact Jennifer Leonard to have a report created and added to your database. (Approximately one-week turnaround.)

4. If you purchase FileMaker Pro software, you can create new layouts for your database. Be sure to check with Jennifer about any database modifications ... generally it is fine to create new lists, labels, letters, etc., but not to make structural changes to the database.
