How to Data Enter Teacher Externships OPTION 1: Use the STW.skl file
You can enter Teacher Externships (or other teacher professional development activities) in the School to Career Participation (STW.skl) file. This method is described here. The following pages also describes an alternate method for tracking externships.
Step 1: Create the activity - do this one time only. Open the yellow Activities file and create a new activity called SUMMER EXTERNSHIP 2001 or whatever the program name is. The activity code should be F1: Teacher Externships and you can use the comment field to describe the program. This screen may be printed by clicking File, Print on the menu bar.
Step 2: Enter the teachers/employers into the STW file. Open the orange STW file and use the layout button to go to a layout called Data Entry Form - Teacher Activities and Externships. This layout is designed specifically for teacher externships or other teacher activities. Data entry is just like data entry for Student Internships. Choose the activity from the popup list in the yellow box. Enter a start date and an end date. In the blue section, choose the name of the school, and then choose the teacher from the dropdown list OR click the Add New Staff/Teacher button to add teacher or staff person to the database. The database will generate an ID number and then you can type in the teacher's name and subject area or job title. (Teachers or staff are stored in the School Contacts file (SContact.skl) which is attached to the Schools file.) If applicable, fill in the Externship Level (see attached chart for definitions). Then fill in the employer information just as you would for a student internship.
REPORTING: Display a list. Use the layout button or the report menu to go to a layout called Externship List. Click the button to find all the teacher externship records (those with the activity code "F1.") This report provides a list of teacher externship, including the employer name, teacher name, school, etc.
SHARING/EXCHANGING FILES: Share the School Contacts file with your Partnership or WIB office. If you send database files to your local partnership or WIB office, be sure to include the SContact.skl file, since it includes the teacher names and contact information. Using this method, teacher externships are automatically linked to the employer history for each participating employer and to the Activity Record. However, a disadvantage to this method is that teacher externships sit in the same file as student internships. You can distinguish the two sets of records by the activity name and activity code (and by the fact that the student info is blank on the teacher externship records) BUT a lot of people are not comfortable with this method.
