Use the ACTIVITIES section of the database to create a list of the programs, activities, events, etc. that you want to track. You'll create this list at the beginning of each year and can add to this list during the year as needed.

From the main menu, open the yellow Activity List file. Click the button to Add a New Activity. An Activity Record ID will be generated automatically. Type in the name of the activity, such as:

  • Classroom in the Workplace - Summer 2007
  • Mass. Restaurant Association Prostart Internships 2007-2008
  • Health Careers Pathway Internships 2007-2008
  • Cooperative Education Program 2007-2008
  • Job Shadow Day 2008
  • Summer 2007 Teacher Externship Program

Then choose an activity code from the popup list. For example:

  • Use A1 for Job/Internship/Co-op Programs
  • Use A5 for Job Shadow Programs
  • Use F1 for Teacher Externship Programs

The remaining fields are optional, including:

  • Start date for the program
  • Description
  • Approximate hours (for activities that have classroom hours attached). (This is useful because when you are entering individual participating students, you will be able to click a button to pull in this figure if appropriate.)
  • Information about cash and in-kind contributions that support this activity. For example, if an employer contributes conference room space or employee time for tutoring, you can enter an approximate value here along with comments. This information is used in the annual Connecting Activities proposal as well as in any grant proposals you might write.
  • Once you have created the list of Activities, these Activities will appear in the Internship/Co-op Placement form as a popup list. You can also print out lists of activities (along with counts of participants, etc.) for quarterly reports, presentations and other reports.

COMMENT: The quarterly Work and Learning Performance report generates a count of employer and student participation in activities coded as "A1." If you have activities that combine an internship/co-op experience with community service, curriculum, or other activities, you should still use the code "A1" for the activity in order to be counted in the quarterly reports.
